  3. Add the new domain and mailboxes to your existing Google Workspace or Outlook environment, or if needed, create a new Workspace environment.

Complete Step-by-Step Instructions

Step 1: Purchase Your Alternate Domain

Choose a domain that is brand-adjacent and professional. Examples include:

  • companyhq.com

  • companymail.com

  • companyteam.com

  • companysolutions.co

How to do it:

  1. Visit Google Domains, GoDaddy, or Namecheap.

  2. Search for the domain name you want.

  3. Purchase it and enable auto-renewal.

Time required: approximately 3 minutes.

Step 2: Configure the Domain for Email Deliverability

Set up SPF, DKIM, and DMARC in your DNS. Your domain registrar and email provider will provide exact copy-and-paste values.

  1. SPF: Authorizes your email provider to send mail from your domain.

  2. DKIM: Adds a secure, encrypted signature to all outgoing mail.

  3. DMARC: Instructs inbox providers how to handle failed authentication.

Step 3: Add the Domain to Your Existing Workspace (Recommended)

Or create a new Workspace environment if you do not use Workspace today

If your company already uses Google Workspace:

You do not need to create an entirely new Workspace account.
Simply add the newly purchased domain to your existing Workspace environment.

How to do it:

  1. Go to the Google Workspace Admin Console.

  2. Navigate to Domains → Manage Domains.

  3. Click Add a Domain or Add a Domain Alias.

  4. Enter your newly purchased domain.

  5. Verify domain ownership by adding the provided TXT record to DNS.

Once verified, you can create new users (mailboxes) on this domain inside the same Workspace organization where your main company email lives.

This keeps everything centrally managed, secure, and simpler for your IT team.

If you are not using Workspace today, follow the original instructions:

  • Begin the Google Workspace signup process

  • Select “Use your own domain”

  • Verify ownership

  • Create your admin account

Time required: approximately 10 minutes either way.

Step 4: Create 3–5 Sending Identities (Email Variations)

Create multiple email accounts for each rep to expand daily outreach capacity.

Examples for a user named Scott:

How to do it:

  1. Go to Admin Console → Users → Add User.

  2. Create each mailbox with its unique address.

  3. Assign a mailbox license.

Step 5: Forward All Emails Into the Rep’s Primary Inbox

For each new mailbox:

  1. Log in to the mailbox.

  2. Go to Settings → See All Settings → Forwarding and POP/IMAP.
